Project administrator (7.5 hours per week)

We have identified an opportunity to provide administration support for the delivery of projects within our Water Management Group. This is a part-time, fixed term role for a period of 6 months, commencing immediately.

The successful candidate will need to show ability, initiative and a constant drive for excellence in supporting our Project Manager (PM) to meet often demanding service delivery objectives.

HR Wallingford provides world-leading independent analysis, advice and support on disciplines ranging from engineering and environmental hydraulics, to the management of water and the water environment.

Typical duties

  • Organizing and coordinating meetings, teleconferences, and workshops;
  • Maintaining appropriate admin data for the project: office paperwork and documentation systems; folder structure; filing and distribution of all relevant paperwork;
  • Booking and coordinating travel arrangements both in the UK and internationally;
  • Supporting in preparation of documentation, presentations and similar for meetings;
  • Coordination of data for reporting purposes; support to editing of reports and similar;
  • Preparing project invoicing; ensuring compliance with client requirements; to include interactions with HR Wallingford internal Finance team;
  • Keeping organized notes of project meetings / teleconferences and follow up actions;
  • Supporting the PM in the preparation and follow up of admin, organisational and contractual matters;
  • Supporting the PM to ensure all project-related operations are in accordance with HR Wallingford policies and procedural requirements.

Attributes, training and experience

  • Experience of providing project administrative support within an engineering/ scientific consultancy organisation;
  • Strong organisational, numerical and computational skills.;
  • A commitment to maintaining the highest administrative standards and to approach new challenges in a proactive and flexible manner;
  • Good writing, communication and teamwork skills.
